Before You Start
Printer problems are among the most common issues we see. The good news is that most can be fixed at home with a bit of patience.
Problem: Printer Shows "Offline"
This is the most common printer issue.
Step 1: Basic Checks
Is the printer turned on?
Is the USB cable securely connected (for wired printers)?
Is the printer connected to the same Wi-Fi network as your computer?
Step 2: Set as Online
Go to **Settings > Bluetooth & devices > Printers & scanners**
Click on your printer
Click **Open print queue**
Click **Printer** in the menu bar
Uncheck **Use Printer Offline**
Step 3: Restart Everything
Turn off your printer
Wait 30 seconds
Turn it back on
Restart your computer
Step 4: Set as Default Printer
Go to **Settings > Bluetooth & devices > Printers & scanners**
Turn off "Let Windows manage my default printer"
Click on your printer
Click **Set as default**
Problem: Print Jobs Stuck in Queue
Sometimes print jobs get stuck and nothing will print.
Step 1: Clear the Print Queue
Go to **Settings > Bluetooth & devices > Printers & scanners**
Click on your printer
Click **Open print queue**
Click **Printer > Cancel All Documents**
Step 2: Restart the Print Spooler Service
If the queue won't clear:
Press **Windows key + R**
Type **services.msc** and press Enter
Find **Print Spooler** in the list
Right-click it and select **Restart**
Try printing again
Problem: Poor Print Quality
Faded or Streaky Prints
Check ink or toner levels
Run the printer's **cleaning utility** (usually found in the printer's software or settings)
For inkjet printers, run 2-3 cleaning cycles if the first doesn't work
Replace cartridges if levels are low
Blurry Prints
Make sure you're using the correct paper type setting
Check that the paper isn't damp or wrinkled
Clean the print head using the printer's maintenance menu
For laser printers, the drum unit may need replacing
Lines or Marks on Every Page
For laser printers, the toner cartridge or drum may be damaged
For inkjet printers, clean the print head
Check for debris inside the printer
Problem: Paper Jams
How to Clear a Paper Jam
Turn off the printer
Gently pull out any visible jammed paper - pull slowly and evenly
Check all accessible areas (front, back, paper tray, inside the printer)
Look for small torn pieces of paper left behind
Turn the printer back on
Preventing Paper Jams
Fan the paper before loading it into the tray
Don't overfill the paper tray
Use the correct paper size and type
Store paper in a dry place (damp paper causes jams)
Don't mix different types of paper in the same tray
Problem: Printer Not Found
When you can't add or find your printer:
For USB Printers
Try a different USB port
Try a different USB cable
Unplug, wait 10 seconds, and plug back in
Check Device Manager for unknown devices
For Wi-Fi Printers
Make sure the printer is connected to Wi-Fi (check the printer's display)
Print a network configuration page from the printer itself
Make sure your computer is on the same Wi-Fi network
Try connecting using the printer's IP address:
Go to **Settings > Bluetooth & devices > Printers & scanners > Add device**
Click **Add manually**
Select **Add a printer using a TCP/IP address**
Enter the printer's IP address
Problem: Printing Is Very Slow
Switch from **Best quality** to **Normal** or **Draft** quality
Print in black and white instead of colour if colour isn't needed
Make sure the printer driver is up to date
Check if the printer is connected via Wi-Fi (USB is faster)
Reduce the resolution of images being printed
