How to Transfer Data to a New Computer

Planning Your Data Transfer

Moving to a new computer doesn't have to be stressful. With a bit of planning, you can transfer everything important and be up and running quickly.

Step 1: Know What to Transfer

Before you start, make a list of what you need:

  • **Documents** - Word files, spreadsheets, PDFs
  • **Photos and videos** - Check your Pictures folder, Downloads, and Desktop
  • **Music** - Your music library and playlists
  • **Browser data** - Bookmarks, saved passwords, extensions
  • **Email** - Account settings and local email archives
  • **Program settings** - Licence keys, configuration files
  • **Desktop shortcuts** - Note which programs you use regularly
  • Step 2: Choose Your Transfer Method

    Option A: External Hard Drive or USB

    The simplest and most reliable method:

  • Plug an external drive into your old computer
  • Copy your Documents, Pictures, Videos, Music, and Desktop folders
  • Copy any other folders with important files
  • Safely eject the drive
  • Plug it into your new computer and copy everything across
  • Option B: Cloud Storage

    Use OneDrive, Google Drive, or Dropbox:

  • Upload your files to cloud storage from your old computer
  • Sign in to the same cloud account on your new computer
  • Download or sync your files
  • Option C: Direct Network Transfer

    If both computers are on the same Wi-Fi:

  • Enable file sharing on both computers
  • Create a shared folder on the old computer
  • Access it from the new computer via Network in File Explorer
  • Copy files across
  • Step 3: Transfer Browser Bookmarks and Passwords

    Google Chrome

  • Sign in to Chrome with your Google account on both computers
  • Everything syncs automatically - bookmarks, passwords, extensions, and history
  • Microsoft Edge

  • Sign in with your Microsoft account
  • Turn on sync in Settings
  • Firefox

  • Create or sign in to a Firefox account
  • Enable sync for bookmarks, passwords, and add-ons
  • Step 4: Reinstall Your Programs

    Unfortunately, most programs can't simply be copied - they need to be reinstalled:

  • Make a list of programs you use on your old computer
  • Download installers from official websites
  • Have your licence keys ready (check emails for purchase confirmations)
  • Install programs on the new computer
  • **Tip:** Take screenshots of your program settings before switching, so you can set them up the same way on the new computer.

    Step 5: Set Up Email

  • **Webmail (Gmail, Outlook.com):** Just sign in through your browser
  • **Desktop email (Outlook, Thunderbird):** You'll need your email account settings (server, port, password)

  • Printer and scanner drivers
  • VPN settings
  • Saved Wi-Fi passwords
  • Software licence keys
  • Desktop wallpaper and personalisation settings
